Privacy Policy

Debrief is a clinical learning journal for medical students and residents. You record a spoken reflection about your day, and the app turns it into a structured, searchable, reviewable set of learning notes. This policy explains what we collect, how it is processed, and the choices you have. By using Debrief you agree to this policy.

Who is responsible for your data

Debrief is operated by Arvind Rajan, an independent developer based in the State of North Carolina, United States. You can reach us at hello@debriefapp.co.

Important: do not record patient-identifiable information

Debrief is a personal learning tool. It is not a medical record system and is not intended to store Protected Health Information (PHI). Do not include patient names, dates of birth, medical record numbers, addresses, contact details, or any other information that could identify a specific patient in your recordings or notes. The app applies automated scrubbing intended to reduce identifiers before content is stored, but this is a best-effort safeguard, not a guarantee. You remain responsible for keeping patient-identifiable information out of the app.

What we collect

How your content is processed

To turn a recording into structured notes, your content is handled by a small set of third-party service providers acting on our behalf. We share only what each provider needs to perform its function. These providers fall into the following categories:

These providers process your content only to deliver the features above. We do not use your content to train our own models, and we do not authorize these providers to use your content to train their models for their own purposes beyond what is necessary to return a result for your request. We can provide more detail about a specific provider on request at hello@debriefapp.co.

How long we keep data

Deleting your data

You can delete an individual entry at any time from within the app, which removes its transcript, structured notes, and any associated audio. You can also delete your entire account from Settings. Account deletion is immediate and permanent: it removes your profile, all of your entries, transcripts, structured notes, review history, categories, and any remaining audio files. This action cannot be undone. If you are unable to delete your account in the app, email hello@debriefapp.co and we will delete it for you.

Security

Data is encrypted in transit. Access to your content is restricted to your authenticated account through database row-level security. No system is perfectly secure, and we cannot guarantee absolute security.

Children

Debrief is intended for medical students, residents, and other adult clinical learners. It is not directed to children under 13, and we do not knowingly collect data from them.

Your choices and rights

You can access and delete your content from within the app. Depending on where you live, you may have additional rights regarding your personal data. To exercise any such right, contact hello@debriefapp.co.

Changes to this policy

We may update this policy as the app evolves. Material changes will be reflected by updating the effective date above and, where appropriate, through an in-app notice.
